This document sets out how Enfield Croquet Club (referred to here as we, our or us) satisfies the processing requirements of the General Data Protection Regulations (GDPR) 2108. We do not have a Data Protection Officer to oversee compliance with data protection laws, as we are not required to do so, but our Chairman has overall responsibility for our data protection compliance.
We collect, store and use the following so that we can administer the club, communicate with members and organise events: contact details that allow us to contact you directly (ie name, address, email address and telephone numbers); financial information relating to subscriptions and other transactions; handicaps, rankings and qualifications; information relating to committee membership or other service to the club; and competition entries, including selection for and participation in club teams.
All this data is held securely by our Secretary and Treasurer for administrative purposes. If you cease to be a member of Enfield Croquet Club, all your data, except your name, will be deleted from our records within 15 months of your membership ending.
As a member, when you participate in one of our competitions, matches or events your name may be displayed on our website; this is a historic public record, so will not necessarily be deleted if the other personal data that we hold about you is deleted.
We do not collect any of the ‘special categories of personal information’, about: race or ethnicity; religious beliefs; sexual orientation; health; or membership of other organisations, except the CA.
You are required to make an active 'opt-in' choice to:
• receive occasional emails or written correspondence relating to the club's activities or other croquet-related matters
• allow your name, phone number(s) and email address to be published electronically in the club directory, which is sent to all other members
• allow your name and postal address to be passed to the Croquet Association (CA), so that it can administer your free standard CA membership included in your club membership, and display your details in the CA’s online directory according to your wishes
• allow your name, phone number(s) and email address to be passed to the East Anglian Croquet Federation (EACF) if you act as fixtures secretary, a team captain or a club representative for an EACF event or league.
Information supplied to third parties The EACF processes the personal data that we supply to it in accordance with its privacy policy (www.angliacroquet.co.uk/privacy.php). The CA processes the personal data you allow us to give them in accordance with their Data Sharing Agreement (www.croquet.org.uk?p=members/MembershipCW/DataSharingAgreement). The club does not provide any personal data to other third parties, and will not unless it has a legal duty to do so.
Changes to this notice.
We may update this notice from time to time. For significant changes we will try to give you reasonable notice unless we are prevented from doing so. Where required by law we will seek your consent to changes in the way we use your personal information.
Contacting us If you change your mind about any of the consent decisions you make about your information, or have a query or complaint in connection with the information we hold about you or how we are storing or using it, please email our Chairman (see club directory for email address), or write to the correspondence address shown on the club’s website (www.enfieldcroquet.org).
Members must not use the personal details contained in the club directory for any purpose not covered by the sporting and social activities of the club; and must not give, hire or sell these details to any other organisation or any individual who is not a member of the club.
